VACANCY ANNOUNCEMENT: Finance/Administrative Officer (Fulltime)

Amerindian People’s Association (APA) invites suitably qualified persons to apply for the fulltime position of Finance/Administrative Officer.

 

Function:

Accounts:

  • Prepare vouchers for all invoices;
  • Write cheques for payment;
  • Prepare activities budget in conjunction with relevant staff member;
  • Request quotations;
  • Process bills, cheque, receipts and other financial transactions;
  • Make and reconcile petty cash payments at the end of the day;
  • Prepare and carry out bank deposits and other banking transactions;
  • Prepare bank reconciliation statement;
  • Assist with accounting reconciliations;
  • Report any accounts discrepancies;
  • Make payments on behalf of the Association;
  • Enter and balance accounts payables and receivables on a daily basis;
  • Assist with other accounting activities in the office;
  • Assemble financial data for audits;
  • Track statutory (NIS, PAYE, TAX) payments and compile information for filing and payment;
  • Assist in month end reporting procedures;
  • Provide logistics support to Project Coordinator.

Inventory:

  • Maintain office supplies inventory (stationery, cleaning supplies, tea supplies, etc.);
  • Prepare requisition for reordering office supplies;
  • Maintain the equipment requisition log book;
  • Maintains inventory of project equipment and supplies;
  • Assist in procurement of good and services;
  • Prepare a maintenance schedule for service of office equipment, furniture and building.

 

Administrative

  • Provide administrative support to the Executive Director as follows:
  • Answering calls and making of appointments;
  • Taking of minutes of staff meetings;
  • Keeping a log of In/Out correspondence and channel to ED and relevant staff members;
  • Provide reminders for meetings and similar engagements and prepare files when necessary;
  • Assisting in filing of records;
  • Monitoring of APA general e-mail account and routing/responding in the absence of the ED;
  • Updating of administrative policy when required.

 

 

Requirements:

  • Five CXC subjects at one sitting (or equivalent), of which two must be English and Mathematics;
  • No lower than CAPE pass in English Language;
  • Diploma Accounting, or CAT II or equivalent;
  • Good English writing skills is compulsory;
  • Good communication skills;
  • Good organising skills;
  • The ability to remain calm under extreme pressure;
  • A good team player;
  • A thorough and methodological approach to work.
